Why Vaultform
Why Vaultform
Companies lose real time and money to paper and manual document handling. Vaultform fixes the parts that actually cause the pain.
Built for any team size
Content Snare is built for solo agencies. ClustDoc is built for enterprise banks. Vaultform is built to grow with you — affordable at every stage, scale up without switching tools.
Security by default
Configurable checklists, a full audit log, and Row Level Security are built into the foundation — not bolted on later.
Every action, tracked
Virus scanning and audit logging ship on every plan, from Growth up. It closes the exact gap that caused the 2019 First American Financial breach — 885 million documents exposed through a single unauthenticated link.
A clear path forward
Compliance certifications and enterprise features are on a public roadmap, so you always know exactly where things stand.
Why trust us with your documents
If you're evaluating whether to send sensitive documents through Vaultform, here's what's actually true today — not marketing language, things you can verify:
No customer accounts to breach
Customers access their upload page via a private link, not a password they might reuse elsewhere. Nothing for them to forget, reset, or leak.
Every file scanned before a human opens it
Malware scanning runs automatically on every upload, not as an optional step someone can skip.
Private, access-controlled storage
Files are never exposed via a permanent public URL. Viewing a document requires a short-lived signed link generated on demand, tied to your organization's own access controls.
Full audit trail on every action
Every upload, scan result, approval, rejection, and export is logged with who and when — defensible if you’re ever asked to prove what happened.
Hash-verified confirmations and signatures
Confirmations require a one-time code sent to the signer's email before recording anything. Contract signatures are additionally bound to the exact document by its cryptographic hash — no ambiguity about which version was agreed to.
Automatic data deletion
Files are automatically deleted 90 days after a request is completed or cancelled. Metadata is kept; the file content itself is removed. Immediate deletion on request is also available.
Being straight about what's not there yet: we are not currently SOC 2, HIPAA, or GDPR certified — Enterprise plans include compliance roadmap alignment, not certification. See our Privacy Policy and Terms of Service for the full, honest picture. If certification is a hard requirement for you right now, tell us before you sign up, not after.
Integrations
Slack, Microsoft Teams, Google Drive, OneDrive, Dropbox, Salesforce, and HubSpot connect directly from your dashboard, on every plan. Zapier and Make aren't native apps — connect them via a generic, HMAC-signed webhook instead. See the full lineup on the roadmap.
Why the name "Vaultform"
"Vault" for secure custody of sensitive documents, "form" for the structured checklist and intake process.
